How to share and access forms with Save to Notion

Are you ready to improve your team's efficiency with perfectly crafted forms? Sharing your forms within your workspace is straightforward, and it's a fantastic way to enhance collaboration.

Here's a simple guide to make your forms accessible to your teammates:

Requirements / Before you Begin

  • You should already have access to the Save to Notion extension in your browser. If you don’t see the extension, see How to Install and Configure Save to Notion.
  • To share forms you must be signed in to Save to Notion. Checkout this article to get Started
  • To share forms you must be a Pro subscriber.
Note: Other users in your Notion workspace do not need to be Pro subscribers to use your shared forms, but they do need to be Pro subscribers to share their own forms.

  • To see shared forms in your Save to Notion extension, you must be signed in to Save to Notion.
  • All users must have access to the same Notion workspace that the form is configured to save to.

Sharing a Form

  1. Navigate to the form settings. This is where you control how your form is managed and shared.
  1. Click on the 'More' button. Here, you'll find a range of settings that offer further control over your form.
  1. Enable the "Publish in workspace" option.
    1. Enable “Publish in workspace” to share this form.

      You should see a message appear confirming your form is published.

      Once you enable this option, your form becomes a shared resource, readily available the next time other members of your Notion workspace open the extension.

      Share forms are marked with a people icon to denote that they have been shared.

  1. What does the Upload images to Notion option do?
    1. When you enable this option, the images on the saved pages will be uploaded to Notion instead of linked to the source. If the source changes or disallows embedding, you may prefer to upload them.

Accessing a Shared Form

After following the instructions above and sharing your form, other users in you Notion workspace should see the form appear in their Save to Notion extension, so long as they are a) signed in to the Save to Notion extension, and b) have access to the Notion workspace and database you are saving to.

Simply close and re-open the Save to Notion extension or refresh the browser tab to refresh the list of forms. Shared forms should appear in your list, denoted by the people icon. You can reorder the list locally as you like.
